Privacy Policy

Your data stays on your computer.

This policy explains what Pharma Digital Maturity for Mac and Pharma Digital Maturity for Windows (together, “the apps”) do with information, and what this website does. In short: the apps collect nothing and send nothing.

Who we are and what this covers

Pharma Digital Maturity (“we”, “us”) publishes the apps and this website. This policy covers:

  • Pharma Digital Maturity for Mac;
  • Pharma Digital Maturity for Windows;
  • this website, and the messages you may send us for support.

The apps help an organisation measure its digital maturity, set targets, review results and manage action plans. They are professional tools for organisations in the pharmaceutical sector, and they run entirely on your own computer. You can reach us at info@pharmadigitalmaturity.com.

Information you enter in the apps

The apps keep the information you type or choose so that they can calculate scores, build reports and let you continue later. We never receive any of it. It is created by you, stored only on your computer, and used only by the app on that computer for the purposes in the last column below. You, or your organisation, decide what is entered and why; we have no access to it.

Information the apps keep on your computer
WhatExamplesWhat the app uses it for
Organisation profileName, type, size band, country, region, contact person, contact role, email address, phone number, certificationsShown on screen and in reports
SitesSite name, type, code, address, city, country, contact person, phone, notesKeeping one workspace per site and labelling reports
Assessment managerName, job title, contact details, preferred languageShown in reports as the person who ran the assessment
Assessment contentAnswers and comments, targets, weighting comparisons, the approval decision with its rationale and the name of the person signing off, review historyCalculating scores, gaps and recommendations; keeping a history you can compare
Action plansName of the responsible person, dates, milestones, costs and benefits, notes, progress log, attached evidence files and web linksTracking the work that follows from recommendations
App settingsLanguage, appearance, currency, lock options, backup folder, whether the guide has been shownRemembering your preferences

Other people’s details. Contact persons, the assessment manager and the people named as responsible for action plans appear only as plain text in your own files. They are not users of the app and are never contacted by it, and the email addresses and phone numbers you record are used only in your reports. Please enter only what you are entitled to record under your own organisation’s policies.

Sensitive information. The apps do not ask for health, financial, biometric or government-identification data. The assessment contains business information about an organisation’s processes and systems, and it too stays on your computer.

What the apps never do

  • Connect to the internet or send dataThe apps work fully offline, including PDF reports, and contain no code that transmits your data.

  • Collect usage dataNo usage statistics, diagnostics or crash reports of their own.

  • Advertise or trackNo advertising, no advertising networks, and no tracking across apps and websites.

  • Create accountsNo sign-in, and no emails, verification messages or invitations are ever sent.

  • Use third-party toolsNo analytics tools and no third-party software development kits that could receive your information.

  • Use device dataNo location, camera, microphone, contacts, calendar, photos or advertising identifier. The apps read only the files you choose in the system Open dialog or attach to an action plan.

Where your data is kept and how it is protected

Where. The apps keep your data in their own data folder on your computer. In either app, Settings has a Show data folder button that opens it. If you use several sites, each has its own workspace inside that folder.

Optional password. In Settings, under Privacy and security, you can set a password. While it is on, the information the app stores on your computer (assessments, action plans, attachments and recovery copies) is encrypted. A lock screen appears each time the app opens, you can lock the app at any moment, and it can lock automatically, for example after a period of inactivity.

The password is never sent anywhere and cannot be recovered. If you forget it, the encrypted data cannot be opened, and neither we nor anyone else can open it. Keep an exported backup in a safe place.

Without a password, your data is stored as ordinary files, protected only by your computer’s own account permissions. We recommend your computer’s disk encryption in every case.

Mac

  • Settings, Show data folder, opens the data folder in Finder.
  • Turn on FileVault in System Settings to encrypt the whole disk.

Windows

  • Settings, Show data folder, opens the data folder in File Explorer.
  • Turn on BitLocker or Device Encryption in Windows settings to encrypt the whole disk.

Temporary copies. When you open an attachment, or preview a report in the Windows app’s viewer window, the app makes a temporary copy so that another program can display it. With a password set, that temporary copy is readable while it is open. The app removes it when you lock the app, close the viewer or quit.

Exports are not covered by the password. Backups you export, PDF reports, spreadsheets and printouts are ordinary files, so keep them as carefully as the information in them deserves.

Files, links and services you choose to use

Some actions move information out of the app. Each one happens only when you start it, and the app sends nothing to us.

  • Exporting and printing. Export backup, Save PDF, Export data (Excel or CSV) and Print write a file or send the document to your printer, in the place and with the name you choose.
  • A backup folder. In Settings you can choose a folder where the app also writes recovery copies. If that folder is synchronised by a service such as iCloud Drive or OneDrive, that service copies the files to its own servers under its own terms and privacy policy. The app itself does not connect to it. The recovery copies are encrypted when a password is set.
  • Evidence files. Files you attach to an action plan are copied into the app’s data folder and included in every backup. They open in the program your computer normally uses for that file type.
  • Evidence links. A web link you add to an action plan is opened in your usual browser or mail program only when you click it. The app never visits it on its own, and that website’s own privacy policy then applies.

Keeping, deleting and controlling your data

How long. We hold none of your assessment data, so there is nothing for us to keep or delete. The data stays on your computer until you remove it.

How to delete it.

  1. Inside the app: discard an assessment that is not yet approved, change or clear answers, targets and comments, and delete an action plan together with its attached files.
  2. Removing a site takes it off the list but does not erase it: its folder is moved to a “Removed sites” folder inside the data folder, so that you can still recover it. Delete that folder to erase it for good.
  3. To erase everything, quit the app, open the data folder with Show data folder, and delete it (move it to the Trash or Recycle Bin and empty it).
  4. Uninstalling an app does not necessarily delete files you exported or saved elsewhere, such as backups, reports and spreadsheets, or a synchronised backup folder. Delete those yourself if you no longer need them.

Consent and control. The apps do not rely on your consent to collect data, because they collect none. You stay in control: you decide what to enter, you can switch the password on or off at any time (the app re-encrypts or decrypts everything), and you can take your information with you at any moment as a backup file, a PDF report or a spreadsheet.

Sharing and third parties

We do not receive your information from the apps, so we cannot share it. The apps contain no analytics tools, advertising networks or third-party software development kits, and no parent, subsidiary or related company has access to your data. If that ever changed, we would make sure any recipient gave your data the same protection as this policy, and we would tell you first, as described in section 11.

However you obtain an app. We may give you the apps in different ways, for example by email or through a download link we send you. The way you receive an app does not change how your data is treated: your assessment information is created and kept on your own computer, and we never receive it. Whoever delivers the app to you, such as your email provider or your organisation’s software distribution, has its own privacy policy, which we do not control. We do not try to identify anyone from how they obtained an app.

When you contact us

If you write to info@pharmadigitalmaturity.com, we receive your email address and whatever you tell us. We use it only to answer you and to improve the apps, and we keep the conversation only as long as needed to resolve your request and handle follow-up questions. Please do not send assessment data or backup files, because we never need them to help you. Where the law asks for a legal basis, we rely on our legitimate interest in answering the people who write to us.

Children

The apps and this website are professional tools and are not directed at children. We do not knowingly collect information from children, and the apps collect no personal information from anyone.

Your rights

Because the apps give us no personal information, your rights over your assessment data are exercised directly on your own computer, as described in section 6. For the little information we may hold about you (such as a support email), you may, depending on where you live, ask us for access to it, correction, deletion, restriction or a copy, and object to its use, including under the EU and UK General Data Protection Regulation and California privacy law. You may also complain to your data protection authority.

We do not sell or share personal information, and we make no automated decisions about you. To exercise a right, write to info@pharmadigitalmaturity.com.

Changes to this policy

We will update this policy when the apps or this website change in a way that affects it, and the effective date will change with it. If a future version of an app were to collect or transmit any information, we would say what, why and to whom here before that version is released, and we would ask for your permission in the app first.
